Frequently asked questions

Difference between OkiOki Start and OkiOki Smart

What is the main difference?

Start focuses on e-invoicing via Peppol (creating, sending and receiving e-invoices in UBL) and automatically saves/shares them with your accountant.

Smart does the same, but also automatically collects documents that are not e-invoices (such as PDFs and receipts), so that your administrative records are always complete.

When should I choose Start?

Choose Start if you mainly work with or want to start using e-invoices and you receive few or no invoices via email, download links or portals.

You are legally compliant with B2B e-invoicing requirements and everything is automatically stored in your archive and sent to your accountant.

When should I choose Smart?

Choose Smart if you also receive PDFs, receipts or documents from portals.

Smart automatically retrieves them from your mailbox (using your VAT number), saves them, deletes duplicate files and sends everything to your accountant in real time. This means that you always have supporting documents for every document and transaction and your file remains complete and up to date at all times.

What is the same in both options?

In both cases, you send and receive e-invoices via Peppol in UBL, documents are automatically stored in your digital archive and shared with your accountant.

The difference lies in the automatic retrieval of non-e-invoices: only Smart does this.

What else do I need to know before choosing?

Not every invoice is an e-invoice. With Start, your focus is on e-invoicing, while with Smart, you also include PDFs and receipts. You can always switch later on (if you use accountancy firm software, coordinate this with your accountant).

Fair usage in Start: Start has a total fair usage of 250 documents (incoming and outgoing combined). With higher volumes, Smart is recommended.

Bank link (read-only): OkiOki can only consult your bank account. We do not make any payments. We only read transactions. The bank link is the same with both Start and Smart.

Start

What is OkiOki Start?

OkiOki Start is designed for e-invoicing.

You create and send e-invoices in UBL and receive e-invoices via the Peppol network. Every e-invoice is automatically stored in your digital archive and forwarded immediately to your accountant.

How exactly does sending and receiving take place?

You create an invoice in the legally required UBL format. OkiOki sends it via Peppol. Incoming e-invoices end up directly in your archive.

Since e-invoices are not adapted, the same file is received in the same format by both the sender and recipient.

What does Start automatically take care of for me and my accountant?

E-invoices are sent to your accountant in real time and remain centrally stored.

This means that you both have the same file without additional actions or email attachments required.

What does Start not include?

Start does not retrieve PDF invoices, receipts or invoices via download links from your mailbox or supplier portals. If you also want these documents to be collected automatically, you need Smart.

Who is Start most suitable for?

For those who mainly work with e-invoices or want to start using them in a structured way. You are legally compliant with B2B e-invoicing requirements without additional links or collection steps.

What about fair usage in Start?

In OkiOki Start, there is a total fair usage of 250 documents (incoming and outgoing combined).

If you consistently have a larger volume of documents, we recommend upgrading to Smart.

Identical documents that arrive multiple times are automatically merged and count only once.

Smart

What is OkiOki Smart?

OkiOki Smart contains everything from Start, but also does the following: it also retrieves documents that are not e-invoices, such as PDFs and receipts.

This means that you and your accountant always have supporting documents for each document and transaction, your records are always complete and up to date and you comply with all legal requirements: e-invoices via Peppol and everything else that does not currently fall under e-invoicing.

How does Smart retrieve my documents?

You link your mailbox. OkiOki searches for your VAT number and retrieves every incoming invoice: As an attachment, via a download link or as an email that serves as an invoice.

After linking your mailbox, each invoice is automatically retrieved and forwarded to your digital archive and your accountant in real time. This way, you do not have to search or upload anything personally.

How does my file remain complete and aligned with my bank transactions?

  • Smart stores every document centrally.
  • In most cases, documents are automatically linked to bank transactions.
  • During the quarterly closing, fewer documents are missing and your accountant will need to request fewer missing documents.

How does Smart handle duplicates and versions?

Identical files are automatically deduplicated and count only once.

Possible duplicates are linked to each other, so that you can confirm whether it is the same document. If you accidentally upload the same file again, it will not be counted twice.

Who is Smart for?

For those who receive PDFs, receipts or documents from supplier portals in addition to e-invoices and who do not want to collect them manually.

Smart is useful if your mailbox is an important source of documents and you do not want to miss anything. This gives you supporting documents for every transaction and keeps your records well organised at all times.
